Turn meeting notes into an action plan with AI

Ask AI to organise approved meeting notes into decisions, actions, owners and deadlines. Then confirm the plan with the people involved before treating it as a record of agreement.

Separate what happened from what should happen

Meeting notes often mix decisions, ideas, questions and commitments. Label these categories before you produce a plan. A suggestion to investigate a supplier is not an instruction to appoint one. A helpful-looking AI table can turn uncertainty into apparent agreement unless you explicitly preserve that distinction.

Prepare notes safely

Use notes that you are authorised to process in your organisation’s approved tool. Remove unnecessary personal details and sensitive commercial information. If you are recording or transcribing a meeting, follow the relevant notice, consent and organisational requirements first. This workflow does not require recording; reviewed written notes may be enough.

Use a structured request

Try this with fictional notes: “Create an action plan using only the supplied notes. Columns: decision or action, owner, due date, evidence in notes and unresolved question. Write [NOT AGREED] where an owner or date is missing. Do not infer commitments. List discussion points separately.” The example is learning guidance, not dialogue from the video.

Confirm the details that matter

Check every row against the original notes. Ask the chair or relevant colleague to confirm ambiguous decisions. Check names and dates carefully, including whether a date is a target or a committed deadline. If nobody accepted responsibility, leave the owner unresolved rather than assigning the task to whoever spoke most often.

Keep follow-up accountable

Draft a concise follow-up that distinguishes confirmed actions from items awaiting clarification. Have the appropriate person review it before sending. Transfer confirmed work into the team’s agreed tracking system and retain the meeting date and source notes. AI can help with organisation; the team still owns decisions, approvals and delivery.

What “an hour back” means

“Skills that give you an hour of your life back every day.” is AtlantisAI’s Hour Back campaign proposition, not a proven or guaranteed daily saving. The promo is a scripted illustration. Your results will depend on the work, the tools you are allowed to use and the checking involved.

Questions and answers

Can AI decide who owns each action?

Not reliably from incomplete notes. Ask it to flag missing owners, then confirm responsibility with the team.

Should every meeting use AI?

No. A short meeting with clear decisions may need only a simple checklist. Use AI where the added organisation is worth the checking and data-handling effort.
